Quote Systems for Gas Engineers
A boiler quote that arrives tomorrow has already lost
The shortest decision window of any job on this site
A power flush is £615. A gas meter relocation, £425. An emergency gas repair, £255. A hob and oven connection, £255. An appliance service, £125.
Now add the one that is not on that list, because it is the job everything else leads to: a boiler replacement, somewhere around £2,000 to £3,000 depending on the appliance and the work involved.
The circumstances in which that gets bought are unlike anything else in the trades. It is November. The boiler has failed. The house is cold, there is no hot water, and the household has decided within about an hour that they are not spending £700 patching a fifteen-year-old appliance.
They want it replaced this week. They will speak to two or three engineers, and a very large share of them will book whoever gives them a price they can act on first.
A quote emailed the following evening, after you have got home and worked it out properly, arrives into a decision that has already been made. You did the visit, you did the diagnosis, and somebody else fitted the boiler.
What a same-visit quote actually needs behind it
A short list of appliances you actually fit. Two or three ranges, three or four outputs. Not a catalogue. The decision the customer is making is small-medium-large and standard-or-better, and a system built around your genuine preferences prices in seconds.
Installed prices, not appliance prices. Boiler, flue, filter, controls, system chemicals, labour, disposal of the old unit, and the standard extras — a power flush where the system needs one, a condensate route, a gas run upgrade. Pre-priced as packages.
Two or three options on one page. A straight swap, a better appliance with a longer warranty, and — where relevant — the version with the system work included. Options convert better here than anywhere else on this site, because the customer is already committed to buying something.
The warranty stated properly. Accredited installer status typically extends manufacturer cover well beyond the standard term, and that difference is worth real money to somebody choosing between two quotes. Most engineers mention it in passing; it belongs on the page in bold.
Finance or staged payment where you offer it. A cold house in November is an unplanned two thousand pounds, and a payment option converts a proportion of people who would otherwise take the cheapest possible repair.
A price that can be produced in the kitchen, on a phone, before you leave. That is the whole objective and everything above exists to make it possible.
The ratio
Our Seen package is £29 a month — £348 a year. That is under three appliance services.
On boilers: winning two additional replacements a year at £2,200 is £4,400, from a system that costs an afternoon to build. And each of those installs opens an annual service arrangement worth £125 a year for the following decade, which is where the real number is.
What we’d actually build
A priced appliance shortlist covering your standard fits, with installed package prices.
A one-page options document, issued from a phone before you leave the property.
Standard extras pre-priced — flush, filter, controls, flue work — so nothing has to be worked out later.
Warranty and accreditation wording that makes the long cover a visible reason to choose you.
A repair-or-replace comparison, shown honestly, because the customer is genuinely deciding between the two and being straight about it wins more than it loses.
A follow-up the next morning, since a proportion of households do want a night to think about it and almost nobody rings them back.
What good looks like at twelve months
- Boiler prices issued before leaving the property, every time
- Two or three options rather than a single figure
- Warranty length stated as a benefit rather than mentioned in passing
- A next-morning follow-up on every unaccepted quote
- Replacement work converting at a rate you can see rather than guess
The mistakes we see most
Going home to price it. The commonest way to lose a boiler job, and it is a habit rather than a necessity.
A single price. The customer has no way to feel they made a choice, so they go and find one elsewhere.
Burying the warranty. It is frequently the strongest thing on your quote and it is usually a footnote.
No follow-up. In a decision made within seventy-two hours, one call the next morning recovers a meaningful share.
The first ninety days
Weeks 1–4. The appliance shortlist and installed package prices, built from what you actually fit and charge.
Weeks 5–8. The one-page options document and the standard extras, so a full quote can be produced on site.
Weeks 9–12. Warranty wording, the repair-or-replace comparison, and a next-morning follow-up habit.
At ninety days the measure is how many boiler quotes left the property with you. It should be all of them.
Where this lands in Gaffer
Quote templates hold your appliance packages and standard extras, which is what makes a priced document possible from a kitchen rather than a desk.
An accepted quote becomes a job with the appliance, warranty and install date recorded, and that record schedules the first annual service automatically.
And because unaccepted quotes carry a status, the next-morning follow-up is a list rather than something you remember on the way to the merchant.
The other quotes, which nobody bothers with
Boilers get all the attention because of the value. There is a second group of jobs where a quick written price would convert far more work than it does, and most engineers give them verbally or not at all.
A power flush at £615. A meter relocation at £425. A hob and oven connection at £255. Controls upgrades, thermostatic valves, a magnetic filter retro-fitted, converting a gravity system, adding a zone.
These come up constantly during services and breakdowns. You mention it while you are there, the customer says they will think about it, and nothing ever happens — because there is nothing for them to think about. There is no document, no figure they can look at again, and by the evening the conversation has gone.
A one-line priced note, sent before you leave, converts a striking proportion of those. “While I was there I noticed the system would benefit from a flush — £615, takes a day, here is what it does.” It takes ninety seconds with a template and it turns a passing remark into a purchase.
The same applies to anything you flag on a landlord certificate. An agent cannot approve remedial work that exists only as a comment on a form; they can approve a priced line item the same afternoon.
Price the small things in writing and a meaningful share of them get bought.
Questions gas engineers ask
Can I really price a boiler without going away to think? With packages behind it, yes, for the large majority of standard installs. The unusual ones can be flagged and priced properly.
What if I get it wrong on site? Package pricing with clearly stated assumptions covers it, and anything genuinely unknown is flagged rather than absorbed.
Do options not invite haggling? They invite choosing, which is different. Most people take the middle one.
Is finance worth offering? Where a household is choosing between a £700 repair and a £2,200 replacement, a monthly figure changes that decision more often than a discount would.
